Privacy Policy

Effective: September 8, 2026

This Policy explains how Contractor360 CRM collects, uses, discloses, and protects personal information when people use the Service, shared document pages, or communicate with us.

1. Scope and roles

This Policy covers Contractor360’s own processing. A contractor company generally controls customer, employee, project, estimate, contract, signature, and invoice information entered in its workspace. Contractor360 processes that information as a service provider or processor on the company’s instructions. Requests about a contractor’s records should first go to that contractor.

2. Information we collect

  • Account data: name, email, phone, authentication records, profile, company, role, and membership.
  • Business records: contacts, addresses, leads, estimates, jobs, schedules, invoices, contracts, change orders, notes, photos, license and insurance files.
  • Signature evidence: signatures, initials, consent, versions, hashes, delivery/view/signing timestamps, IP address, and device/browser data.
  • Billing data: plan, subscription status, transaction IDs, amounts, and limited processor metadata; we do not receive full card numbers.
  • Usage data: logs, feature usage, errors, approximate IP location, cookies, and similar technology.
  • Communications: support, feedback, email, and text-delivery information.

3. How we use information

  • Provide, authenticate, secure, maintain, and improve the Service.
  • Create and deliver estimates, contracts, signatures, invoices, payment links, notifications, and communications.
  • Operate subscriptions, support, fraud prevention, audit trails, backups, and administration.
  • Comply with law, enforce agreements, protect rights and safety, and resolve disputes.
  • Create aggregated or de-identified analytics that do not reasonably identify anyone.

4. How we disclose information

  • To authorized workspace users and recipients as directed by the contractor company.
  • To vendors providing hosting, database, storage, authentication, email, communications, analytics, support, payments, and security.
  • To payment providers when a payment or subscription begins.
  • To financing partners when a person chooses their financing experience; their own privacy notice applies.
  • To authorities or others when reasonably necessary for law, safety, rights, fraud prevention, or enforcement.
  • During a merger, financing, acquisition, reorganization, bankruptcy, or business transfer.

5. Sale and sharing

We do not sell personal information for money and do not knowingly share it for cross-context behavioral advertising. If that changes, we will update this Policy and provide required choices first.

6. Retention

We retain information as needed to provide the Service, follow a contractor company’s instructions, preserve transaction and signature evidence, and meet legal, tax, accounting, security, and dispute obligations. Periods vary by record type. Backups may persist for a limited time after deletion.

7. Security

We use safeguards designed for the information, including authenticated access, tenant separation, access controls, protected storage, and encryption in transit. No system is completely secure. Users must protect passwords and signing links.

8. Privacy rights

Subject to location and legal exceptions, you may request access, correction, deletion, or portability and may appeal or object to certain processing. California residents may also request categories and specific pieces collected, sources, purposes, and recipient categories, and may exercise applicable rights without discrimination.

  • Email support@admjpainting.com with subject “Privacy Request.”
  • We may verify identity and authority. Authorized agents may need proof of authority.
  • If a contractor controls the record, we may direct the request to it or assist it.
  • Because we do not sell or share data for cross-context behavioral advertising, there is currently no sale/share opt-out for our stated practices.

9. Cookies

Essential cookies and local storage support authentication, security, preferences, and requested functions. Limited measurement may help diagnose performance. Disabling essential storage may prevent the Service from working. See the Cookie Notice.

10. Children

The Service is for businesses and adults, not children under 13. We do not knowingly collect personal information directly from children under 13. Contact us if you believe that occurred.

11. United States processing

The Service is operated in the United States. Information may be processed where we and our providers operate, subject to applicable safeguards and law.

12. Changes

We may update this Policy. The effective date shows the latest version, and we will provide additional notice where required for material changes.
